Position Summary:
We are seeking a highly organized and presentable Admin Assistant / Receptionist to manage front desk responsibilities and provide administrative support to the team. This role is critical in ensuring smooth office operations and creating a professional, welcoming environment for clients and visitors.
Key Responsibilities:
- Greet clients and visitors in a professional and courteous manner
- Answer, screen, and forward incoming calls and emails in Azerbaijani, Russian, and English
- Manage appointment scheduling, meeting room bookings, and calendars
- Handle incoming/outgoing mail and courier services
- Maintain a tidy and professional reception area
- Support document preparation, filing, scanning, and archiving
- Assist legal staff with administrative tasks and coordination as needed
- Order and manage office supplies and stationery
- Ensure compliance with confidentiality and legal office standards
Requirements:
- Bachelor’s degree or relevant diploma preferred
- Minimum 1-2 years of experience in a similar administrative or receptionist role
- Fluent in Azerbaijani, Russian, and English (both spoken and written)
- Excellent communication and interpersonal skills
- Proficiency in MS Office (Word, Excel, Outlook)
- Strong organizational skills and attention to detail
- Professional appearance and demeanor
- Ability to multitask and prioritize in a fast-paced environment
