About the Firm

  • We are a dynamic England-based law firm with offices in London. As part of our continued growth and international development, we are expanding our operations to Baku, Azerbaijan.
  • Our Baku office will work closely with our UK-based solicitors, fee earners and supervisors, supporting the firm’s legal, administrative and case management functions. Role Overview

  • We are seeking an English-speaking Entry-Level Paralegal / Legal Administrative Assistant to join our new Baku-based team.
  • This is a junior role suitable for a candidate with strong English language skills, good IT ability, attention to detail and an interest in developing a career within an international legal environment.
  • The successful candidate will assist UK-based solicitors, fee earners and supervisors with case administration, document management, client communication and basic legal drafting. Duties will include opening and maintaining client files, uploading documents to the firm’s case management system, preparing basic correspondence and legal documents under supervision, communicating with clients and third parties, and helping to ensure that matters are progressed in accordance with firm procedures, deadlines, KPIs and professional standards.

Full training will be provided.

Key Responsibilities

The role will include:

  • Opening new matters and maintaining client files on the firm’s case management system, including LEAP.
  • Uploading, saving, organising and managing documents on LEAP and other approved systems.
  • Drafting basic letters, emails, forms and legal documents under supervision.
  • Assisting with client onboarding, information gathering and routine case updates where authorised.
  • Communicating professionally with clients, defendants, third parties, experts, courts and colleagues by email, telephone, text message or other approved communication channels.
  • Following firm workflows and procedures for different areas of law.
  • Monitoring tasks, deadlines, diary entries and critical dates.
  • Carrying out instructions from solicitors, supervisors and senior team members accurately and within deadlines.
  • Supporting compliance with confidentiality, data protection, client care, anti-money laundering and file management requirements.
  • Escalating urgent issues, risks, complaints or missed deadlines to a supervisor promptly.
  • Carrying out general administrative tasks including printing, scanning, filing, archiving and document management.
  • Working towards firm KPIs, service standards and performance targets.

Requirements

The successful candidate should have:

  • Professional-level fluency in English, both written and spoken.
  • Strong IT skills, including Microsoft Office 365.
  • Excellent written and verbal communication skills.
  • Good attention to detail and organisational skills.
  • Ability to follow instructions, work under supervision and meet deadlines.
  • Ability to communicate professionally with clients, colleagues and third parties.
  • Ability to work independently and as part of an international team.
  • A practical, reliable and solution-focused approach.
  • Willingness to learn UK legal processes, firm systems and case management procedures.
  • A professional attitude and understanding of confidentiality, client care and data protection.

Desirable

Any of the following would be advantageous but are not essential:

  • Law degree or relevant university degree from the UK.
  • Legal training, qualification or work experience in Azerbaijan.
  • Understanding of the Azerbaijani legal system.
  • Previous legal, administrative, customer service or office-based experience.
  • Familiarity with LEAP or another legal case management system.
  • Experience drafting professional letters, emails or documents.
  • Azerbaijani, Russian or Turkish language skills.
  • UK legal exposure, western education or experience working with international organisations.
  • Interest in developing a long-term career in legal services.

Training and Development

  • Full training will be provided on the firm’s case management systems, internal workflows, UK legal administration, document management, client care, compliance, confidentiality, data protection, deadlines and KPIs.

Recruitment Process

  • Applications will be considered on a rolling basis. Suitable candidates may be invited to interview either remotely or in person. Interviews may involve the Baku office manager and, where appropriate, members of the firm’s UK-based team joining remotely.
