Job Summary:
- The Office Administrator is responsible for ensuring the efficient day-to-day operation of the office by providing administrative, organizational, and coordination support across departments. The role serves as a central point of contact for office-related matters, ensuring smooth and effective office processes.
- Take comprehensive and structured minutes during weekly alignment meetings, accurately capturing key discussions, decisions made, and clearly outlining the responsibilities and action items assigned to each participant. Ensure timely distribution of the minutes on a weekly basis, while systematically tracking ownership, deadlines, and progress against assigned tasks to maintain accountability and follow-up.
Key Accountabilities:
Activities shall include but not be limited to:
- Oversee day-to-day office operations to ensure efficiency and smooth functioning
- Coordinate meetings, corporate activities, and schedules, including calendar management
- Manage internal and external communications, including emails, calls, and official correspondence
- Maintain organized filing systems and document management processes, ensuring accuracy and confidentiality (physical and digital)
- Provide administrative support to senior management, including preparing reports, documents, and presentations
- Support procurement activities and vendor coordination, including purchasing office supplies and monitoring expenses
- Coordinate business travel, accommodation, and related logistics
- Organize internal events, meetings, and company initiatives
- Provide administrative support across different departments as needed
- Liaise with building management and service providers to address office maintenance and facility-related matters
- Act as the first point of contact for office-related issues, ensuring timely resolution of maintenance and repair needs.
Skills, Experience and Qualifications:
Core Competencies:
- Bachelor’s degree in Business Administration, Management, or a related field, with 3+ years of experience in office administration or a similar role
- Strong communication skills in Azerbaijani and English, with a high level of spoken Russian
- Excellent organizational, time management, strong attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to handle confidential information, demonstrate problem-solving skills, and adapt in a dynamic environment
