Job Summary:

The Facility Manager is responsible for overseeing the daily operations and maintenance of the organization's facilities, ensuring they are safe, efficient, and well-maintained. This role requires a combination of technical expertise, leadership skills, and excellent communication abilities. The Facility Manager will coordinate maintenance, repairs, and vendor relationships, and ensure the facility complies with all local safety, health, and environmental regulations.

Key Responsibilities:

Facility Operations Management:

  • Oversee the day-to-day operations of the facility, ensuring that it operates smoothly and efficiently.
  • Manage the facility’s preventive and corrective maintenance programs to ensure all systems (HVAC, electrical, plumbing, etc.) are in good working condition.
  • Supervise and coordinate the activities of facility staff, including janitorial and maintenance personnel.
  • Monitor building systems, identify issues, and ensure timely repairs or replacements.

Budgeting and Financial Management:

  • Develop and manage the annual facility management budget, ensuring efficient use of resources and cost control.
  • Handle procurement of supplies, tools, and equipment required for facility maintenance and operations.
  • Track expenses related to maintenance, utilities, and repairs, ensuring adherence to budget limits.

Health and Safety Compliance:

  • Ensure that the facility adheres to all local, state, and federal regulations regarding health, safety, and environmental standards.
  • Conduct regular safety inspections and risk assessments.
  • Develop and enforce health and safety policies and procedures.
  • Implement fire safety, emergency evacuation plans, and disaster recovery protocols.

Vendor and Contractor Management:

  • Oversee the procurement and management of third-party service providers, including janitorial, security, and maintenance contractors.
  • Negotiate contracts, monitor vendor performance, and ensure compliance with service level agreements (SLAs).
  • Evaluate and select contractors and suppliers based on quality, reliability, and cost.

Sustainability and Energy Efficiency:

  • Develop and implement strategies to reduce energy consumption, manage waste, and improve sustainability practices within the facility.
  • Monitor energy usage and recommend improvements in energy efficiency, such as adopting renewable energy or energy-saving technologies.

Customer and Stakeholder Communication:

  • Serve as the primary point of contact for facility-related issues for employees, clients, and external partners.
  • Address and resolve any facility-related complaints or requests in a timely and professional manner.
  • Communicate facility status updates to management and staff.

Emergency Preparedness and Response:

  • Ensure that emergency response plans are up-to-date and employees are trained in emergency procedures.
  • Respond to and manage any emergencies or incidents related to the facility, such as natural disasters, power outages, or fires.

Facility Inspections and Reporting:

  • Conduct regular inspections to assess the condition of the building and equipment.
  • Prepare detailed reports on facility performance, maintenance activities, and budget usage.
  • Provide recommendations for improvements and upgrades.

Skills and Qualifications:

Education:

  • Bachelor’s degree in Facility Management, Engineering, Architecture, Business Administration, or a related field. Relevant certifications (e.g., Certified Facility Manager - CFM, LEED) are a plus.

Experience:

  • Minimum 8 years of experience in facility management or a related field, with at least 4 years in a supervisory or managerial role.
  • Proven experience in budget management, vendor relations, and project management.

Technical Skills:

  • Strong knowledge of building systems, including HVAC, electrical, plumbing, and fire safety.
  • Proficient in using facility management software (e.g., CMMS) and Microsoft Office Suite.
  • Understanding of energy management and sustainability practices.

Leadership and Management Skills:

  • Excellent leadership, team building, and staff management skills.
  • Ability to handle multiple tasks and prioritize responsibilities effectively.
  • Strong problem-solving and decision-making abilities.

Communication Skills:

  • Excellent written and verbal communication skills on Azerbaijani language. Knowledge of English and Russian languages is a plus
  • Ability to communicate effectively with all levels of staff, vendors, and clients.

Health & Safety Knowledge:

  • Strong knowledge of local building codes, health, safety, and environmental regulations.
  • Ability to conduct safety audits and ensure compliance with regulations.

  • Strong organizational and time-management skills.
  • Detail-oriented with the ability to maintain high-quality standards.
  • Ability to work under pressure and adapt to changing priorities.
