Purpose of the Role
- To manage and coordinate customer enquiries, quotations, tenders, and proposal submissions from initial enquiry stage through to order completion. The role supports Operations, Estimating, Procurement, and Business Development teams by ensuring timely, accurate, and commercially compliant responses to customer requirements while maintaining professional client relationships and supporting business growth within the Oil & Gas and Engineering sectors.
Key Responsibilities
Health, Safety, Security, Environment & Quality (HSSEQ)
- Ensure compliance with company HSSEQ policies, procedures, and management systems.
- Contribute to positive HSSEQ performance and workplace safety culture.
- Ensure relevant HSSEQ and QA documentation is included in proposals and customer submissions where required.
- Participate in quality audits and continuous improvement initiatives.
- Stop any unsafe act or activity that may result in injury, incident, or damage to personnel or property.
Operational Responsibilities
Enquiries & Customer Management
- Manage customer enquiries from receipt through to order processing and close-out.
- Respond to telephone and email enquiries in a timely and professional manner.
- Maintain customer enquiry logs and enquiry tracking systems.
- Review Requests for Quotation (RFQs), sales enquiries, and tender documentation.
- Distribute enquiries to estimating or operations teams depending on scope and complexity.
- Liaise with operations personnel and discipline engineers to clarify technical and commercial requirements.
- Maintain regular communication with customers and provide professional support throughout the enquiry process.
- Follow up on submitted quotations and proposals and provide feedback to estimating and business development teams.
- Develop and maintain professional customer progress reporting and status updates.
Proposals & Tender Coordination
- Assist in preparation and coordination of quotations, tenders, and commercial proposals.
- Gather information, supporting documentation, and technical/commercial inputs required for proposals.
- Assist in preparation of prequalification questionnaires (PQQs), tender submissions, and supporting documentation.
- Coordinate bid activities to ensure deadlines and submission requirements are achieved.
- Ensure proposal documentation is complete, accurate, and aligned with customer requirements.
- Process and distribute RFIs (Requests for Information), tender clarifications, and addendums to relevant stakeholders.
- Support management of proposal revisions and customer clarification responses.
- Ensure proposals and quotations are issued in a timely and efficient manner.
Commercial & Procurement Support
- Obtain supplier quotations for materials, equipment, OEM products, and third-party services.
- Raise purchase requisitions in accordance with company procedures and financial authority limits.
- Support procurement and logistics coordination for customer orders and project requirements.
- Coordinate order processing, invoicing activities, and project/order close-out documentation.
- Assist in identifying commercial risks, contractual implications, and customer requirements.
- Support generation of new business opportunities, including OEM partnership opportunities where applicable.
Coordination & Reporting
- Interface with all company departments to ensure successful execution of enquiry and proposal activities.
- Attend and coordinate customer and internal meetings relating to enquiries, tenders, and order processing.
- Maintain accurate records, filing systems, and documentation related to enquiries and proposals.
- Prepare reports relating to enquiry status, proposal activity, and customer progress where required.
- Support continuous improvement of enquiry management and proposal processes.
Qualifications/Experience
- Diploma or Bachelor’s Degree in Business Administration, Engineering, Procurement, Commercial Management, or related field
- Minimum 3–5 years’ experience in a similar commercial, coordination, proposals, or customer support role
- Experience in procurement activities, customer order processing, budgeting, or commercial operations
- Experience coordinating quotations, tenders, or proposal activities is considered an advantage
- Additional training or certification in procurement, tendering, contracts, or commercial administration is preferred
- Experience within Oil & Gas, EPC, Engineering, or Industrial sectors is preferred
- Background in tendering, commercial administration, contract support, project services, or estimating is preferred
