Job Description

Organizational Context and Scope

  • Under the direct supervision of the Head of Office and in close coordination with the Regional Office Vienna, including the HRR Unit, as well as Headquarters in Geneva, the successful candidate will assist in the implementation of projects in the Country Office, including but not limited to supporting emergency preparedness and response activities, contingency planning, coordination with relevant stakeholders, reporting, and liaison with partner agencies.

Responsibilities

  • Assist in the coordination and implementation of emergency preparedness project activities in line with IOM procedures and donor requirements.
  • Support project coordination mechanisms, including organizing Working Group meetings and following up on agreed actions with relevant stakeholders.
  • Assist in the preparation and review of analytical outputs, reports and recommendations related to emergency preparedness planning.
  • Contribute to the development and updating of methodologies, contingency plans, standard operating procedures and approaches to address emerging challenges.
  • Support the preparation and dissemination of reports, government and other stakeholders, ensuring timely submission and compliance with requirements.
  • Liaise and coordinate with government entities, implementing partners, UN agencies, civil society organizations, and other stakeholders.
  • Assist in organizing and delivering capacity-building activities, including trainings, workshops and consultations.
  • Participate in relevant meetings, conferences, working groups and other coordination forums.
  • Draft reports, briefing notes, meeting minutes and other project documentation.
  • Support budget monitoring and administrative processes, including expenditure tracking, procurement and logistics.
  • Promote the integration of cross-cutting priorities, including gender, protection and human rights, into project activities.
  • Maintain project records and documentation, ensuring proper filing and accessibility.
  • Support consultants and facilitate communication among stakeholders to ensure timely delivery of outputs.
  • Perform other related duties as assigned.

Qualifications

Required Qualifications and Experience

Education

  • School diploma with five years of relevant experience; or,
  • Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with three years of relevant professional experience.

Accredited Universities are those listed in the UNESCO World Higher Education Database.

Experience

  • Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations;
  • Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups; and,
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage. 

Skills

  • In depth knowledge of migration-related subject areas and the work of the IOM.
  • Familiarity with the UN system and knowledge of inter-agency coordination .
  • Awareness of donor-funded programming, including UN and bilateral projects.
  • Working knowledge of reporting and administrative processes in project implementation.
  • Ability to coordinate with government counterparts, UN agencies, and implementing partners in a professional setting.

Languages
