Job Summary:
We are seeking a highly organized and professional Office Administrator / Receptionist to support the daily operations of a legal office. This role requires strong communication skills, attention to detail, and the ability to manage administrative tasks efficiently in a structured and confidential environment.
Key Responsibilities:
- Greet clients and visitors in a professional and courteous manner
- Manage incoming calls, emails, and correspondence
- Coordinate meeting schedules, appointments, and conference rooms
- Maintain office filing systems (both physical and electronic) with high accuracy
- Handle incoming and outgoing documentation, including legal documents
- Support lawyers and legal staff with administrative tasks
- Prepare basic documents, reports, and correspondence when required
- Manage office supplies and coordinate with vendors and service providers
- Assist with invoicing, document tracking, and internal coordination
- Ensure confidentiality of sensitive legal information at all times
- Support general office operations and ensure smooth day-to-day workflow
Requirements:
- Bachelor’s degree in Business Administration, Law, or related field preferred
- 1–3 years of experience in administrative, receptionist, or office coordination roles (experience in legal firms is an advantage)
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Proficiency in MS Office (Word, Excel, Outlook)
- Fluent in Azerbaijani and English (Russian is an advantage)
- Professional appearance and client-oriented attitude
- High level of responsibility, discretion, and attention to detail
