Job and Main Tasks description:
Office Operations Management
- Oversee daily office functioning and administrative workflows
- Manage office supplies, equipment, and facilities
- Coordinate maintenance and service providers
- Ensure compliance with safety and workplace standards
Administrative & Executive Support
- Support NOVUM leadership with scheduling, travel arrangements, documentation and coordination
- Organize internal meetings and company events
- Prepare reports, memos, and internal communications
Vendor & Contract Management
- Manage office suppliers and service providers
- Monitor service quality and cost efficiency
- Control office-related budgets and expenses
HR & Employee Support (Operational side)
- Support onboarding and offboarding logistics (workspace, access, equipment)
- Maintain employee records (in coordination with HR)
- Coordinate internal policies and documentation
- Organize employee engagement initiatives
Financial & Document Control
- Track office-related expenses
- Process invoices and coordinate with finance
- Maintain document management system
- Ensure proper filing and archiving
