Role Overview:
We are seeking a highly organized and detail-oriented Sales Operations Specialist who will be instrumental in managing the critical documentation, certification, and contract execution processes that underpin our sales operations. The ideal candidate will work closely with Sales Managers and cross-functional teams to ensure the smooth administration of sales transactions, from initial contract signing to final product delivery.
Key Responsibilities:
- Manage the preparation, review, and maintenance of all sales-related documentation, including contracts, certificates, regulatory compliance records, and related files;
- Coordinate and oversee product certification processes to ensure adherence to both domestic and international regulatory requirements;
- Support Sales Managers by tracking and monitoring contract execution, ensuring all deliverables are met in accordance with agreed timelines and terms;
- Serve as the primary liaison between Sales, Legal, and Operations teams, facilitating effective communication and ensuring alignment throughout the sales cycle;
- Maintain accurate records of sales transactions, certifications, and contract updates within internal systems, ensuring data integrity and accessibility;
- Proactively identify and resolve any administrative or operational issues that may arise during the sales process, minimizing disruptions and ensuring customer satisfaction;
- Assist in the preparation and management of contract renewals, amendments, and compliance audits, ensuring all documents are current and meet legal requirements.
Professional Qualifications:
- At least 3 years of experience in sales operations, sales support, or a related administrative role, ideally within an industrial, manufacturing, or export-oriented environment;
- Strong knowledge of sales documentation procedures, contract management, and certification processes, particularly in a global trade context;
- Exceptional organizational and time management skills, with meticulous attention to detail and a results-oriented approach;
- Proven ability to manage multiple priorities and deadlines in a fast-paced and dynamic environment;
- Effective communication and interpersonal skills, with the capability to collaborate across departments and manage stakeholder relationships;
- Proficiency in CRM systems, ERP platforms, and document management software is highly desirable;
- Familiarity with international trade regulations and export compliance standards is a plus.
