Key details about the role and the candidate

This position is part of our Supply Chain Team within the Procurement Department. The Data and Cataloguing Administrator will be responsible for accurately cataloguing materials, equipment, and services and ensuring seamless inventory management. This role supports data accuracy during ERP system transitions, working closely with the Inventory Management Supervisor and the Country Supply Manager.

You and the role 

  • We are seeking an organized and detail-oriented individual with experience in data and cataloguing within the supply chain or a related field. Ideally, you will have strong analytical skills, knowledge of cataloguing standards, and proficiency in managing data integrity. 

Primary responsibilities

  • Work as a coding team member carrying out day-to-day coding activities.
  • Ensure no material master or supplier information is uploaded into SAP that will have a detrimental effect on the business.
  • Ensure effective communication between the coding team and other departments.
  • Identify and instigate improvements in process and procedures.
  • Carry out any project work requirements
  • Work as a key member in the cataloguing team to ensure accurate cataloguing of all parts and related services.
  • Input and update cataloguing processes according to the PIDX, Coding matrix and other related tables and rules, to ensure the creation and maintenance of high-quality data records that can be used for Purchasing and Operational Maintenance activities in the field.
  • Review and update existing catalogue database (Materials, Equipment, Manufacturers, Vendors, etc.) in order to maintain consistent and verified data, which helps BUs and End Users for the Supply Chain processes to run smoothly.
  • Validate and challenge information received as part of cataloguing requests received from the BUs to ensure high quality data records can be created within the agreed framework. Ensure information that is uploaded is accurate to mitigate the risk to the business of incorrectly classified goods being available for selection by Operations.
  • Support BUs to receive good technical input to enhance and improve the database of material and equipment records for Turan Drilling to achieve improved analytics capabilities to be used both for internal and external needs (e.g. contract management).
  • Proactively participate in Coding Process acting as Gatekeeper for prevention of duplications in Coding flow
  • Ensure all coding work is actioned in a timely manner and to an excellent standard performing the assigned tasks with “Can Do” approach
  • Gather, validate and add new material technical data to the SAP database as and when required. Provide technical support to BU regarding material master data.
  • Add new vendor master data to the SAP database as and when required. Provide continual housekeeping and maintain all material and vendor master records.
  • Work with tangible volume of data and execute essential analysis/reports within Business needs
  • Work with other team members of the team and stakeholders in the BU’s to ensure that the SCM material and equipment catalogue and vendor master records are robust and precise.
  • Follow agreed set of principles to underpin accurate stock keeping, procurement and maintenance activities.
  • Assist other team members with planning and coordination of housekeeping activities to improve existing database and coordinate project coding requirements.
  • Work as the part of team assisting in accurately classifying and creating master data records for main equipment, spares and operational services.
  • Participate in departmental meetings and, where required, contribute proposals for the continuous improvement of processes and procedures.
  • Act as liaison between Turan Drilling and Client within Coding agenda where appropriate
  • Conduct all business following Group KOMS procedures.
  • To be considered as a valuable member of SCM supporting the Business Units / End Users to ensure Operational needs are actioned and to ensure the service delivery is of high and timely standard.
  • Continuously improve processes and standards to reduce problems for the end-users’ daily tasks whilst assuring best outcomes are achieved.

Experience

  • Some experience in supply chain within an Oil and Gas or large process industry (petrochemical, pharmaceutical, utilities, CPG, or food).
  • Competent with Supply Chain Management (SCM) methodologies.
  • SAP skills in supply chain-related transactions.
  • Experience within an equivalent role is advantageous. 

Behaviour and Skills

  • Well-organised, proactive, and a good communicator.
  • Fluency in Azerbaijani and English languages (both verbal and written) remains a key requirement for the role.
  • Proficiency in SAP, Microsoft Word, Excel, PowerPoint; Power BI is desirable.
  • Strong organizational skills and ability to manage tasks independently while meeting deadlines under pressure.
  • High integrity, especially when handling sensitive and confidential data.
  • Effective problem-solving capabilities and a commitment to accuracy.

Minimum Qualifications

  • Bachelor’s degree (preferably with a major statistical analysis component, e.g., Mathematics, Statistics, Computer Science, etc.).
  • Knowledge of SCM policies, practices, procedures, and principles.
  • Good communication skills.
  • Knowledge of supply management-related systems.
