Purpose of the Position
- The Assistant to the COO provides daily administrative, organizational and coordination support to the COO at an industrial enterprise for the repair and modernization of technically complex machinery and equipment.
- The main task of the position is to relieve the Chief Operating Officer from routine administrative, control and coordination work related to production, the technical department, the technological department, the design department, internal production logistics, the engineering infrastructure of the enterprise, equipment maintenance and other operational areas.
- This position is not a secretary position. It is the role of an operations coordinator under the COO, who must be able to independently organize the flow of tasks, control the execution of assignments, prepare management information and help the COO keep a large number of parallel processes under control.
Main Duties
- Organization of the COO's work calendar, preparation of meetings, sessions, agendas, minutes and control over the execution of decisions.
- Maintaining the register of COO assignments: responsible persons, deadlines, execution status, overdue items, problem issues.
- Daily coordination of communication between production, technical, technological, design, logistics and engineering-infrastructure departments.
- Collection, verification and consolidation of information for the COO on production, downtime, critical issues, technical problems, equipment, infrastructure and fulfillment of plans.
- Preparation of brief daily, weekly and monthly reports, KPI summaries, presentations and management materials.
- Preparation of draft letters, orders, memoranda, minutes, control tables and other documents on the instructions of the COO.
- Control of deadlines for the implementation of operational projects, internal plans, production launch activities, process improvement, implementation of ERP/MES and other systems.
- Organization of the COO’s interaction with internal departments, company management, contractors, consultants, suppliers and external partners.
- Ensuring confidentiality of management, technical, production and commercial information.
- Performance of other organizational and analytical tasks related to the activities of the COO.
Mandatory Qualification Requirements
- Higher education: engineering, technical, industrial management, operations management, business administration, economics or a related field.
- At least 4–5 years of work experience in an industrial, production, engineering, project or corporate environment.
- Experience in mechanical engineering, heavy industry, defense industry, automotive, railway, energy or another technically complex sector is desirable.
- Experience in supporting a senior-level manager, working in PMO, project coordination, operational coordination or production planning.
- Excellent knowledge of Azerbaijani and English languages — mandatory.
- Knowledge of Russian, Czech or Slovak language — an additional advantage.
- Confident proficiency in Microsoft Office: Excel, PowerPoint, Word, Outlook.
- Practical experience working with ERP systems, task management systems, document workflow systems or project tools.
- Ability to quickly prepare tables, reports, presentations, minutes, letters and summaries for management.
- High level of organization, attention to detail, ability to work with a large volume of information.
- Ability to work under pressure, quickly switch between tasks and maintain control over deadlines.
- Professional maturity, independence, responsibility, confidentiality and developed communication skills.
Desired Personal and Work Qualities
- The candidate must be ready for an intensive work rhythm, a large number of parallel tasks, urgent assignments and the need for operational response outside the standard office schedule.
- Preference will be given to candidates who demonstrate high personal energy, stress resistance, discipline, initiative, the ability to independently organize work and quickly enter a new production environment without long-term continuous training.
- It is important that the candidate be sufficiently mature for interaction with heads of departments, while at the same time possessing flexibility, speed of response and readiness to work in the dynamic environment of launching and developing an industrial enterprise.
Working Conditions
- Work location: Sumgayit city.
- Five-day working week.
- At the same time, the position requires readiness for a flexible schedule, operational response to urgent issues and support of the COO during periods of high operational workload.
