Position Overview
- Senior Document Controller manages and maintains all documentation related to the projects assigned to them. The role ensures accurate, up-to-date, and approved documents are accessible to project teams, contractors, subcontractors, and clients. By overseeing document distribution, version control, and archiving, the Senior Document Controller supports smooth project communication and ensures compliance with internal and client standard.
Key Responsibilities
- Organize index, and maintain structured folders for all project documents, including drawings, specifications, contracts, letters, reports, and correspondence.
- Ensure proper storage and archiving documents in both digital and hard-copy formats.
- Manage document version control, update logs, track revisions, and notify teams of newly issued documents.
- Prevent outdated documentation from being used on site and ensure only approved versions are accessible.
- Distribute documents to contractors, subcontractors, suppliers, clients, and project teams.
- Track approvals, comments, and signatures, ensuring timely processing of all submissions.
- Maintain registers for RFI, NCR, MAR, submittals, and other project-related processes.
- Prepare accurate Minutes of Meeting (MOM), capture action items, and monitor follow-up activities.
- Upload, classify, and track documents using Aconex, SharePoint, or similar EDMS platforms.
- Maintain a tagging and classification system to ensure easy searchability and retrieval.
- Prepare periodic reports on documentation status, including pending, submitted, reviewed, and approved items.
- Ensure compliance with company standards, client requirements, and legal documentation procedures.
- Ensure documents are shared at key times to facilitate timely project completion.
- Provide timely document support to engineers, architects, and project managers.
- Assist in preparing tender, bidding, and contract documentation.
Requirements
Qualifications and Experience
- Bachelor’s degree in business administration or related field.
- Minimum 4-5 years of experience in document control (construction or projects is an advantage).
Technical Skills
- Strong knowledge of document control procedures, standards, and best practices.
- Strong knowledge of document formatting, indexing, and version control.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and document management systems.
Core Competencies

- Clear and effective communication with internal and external teams.
- Ability to manage large volumes of documentation with accuracy and efficiency.
- Problem-solving and decision-making abilities.
Language Proficiency
- Fluency in Azerbaijani and good command of English is required.
- Good command of Russian is an advantage.
