Position summary:
The purpose of this position is to provide support to all aspects of Dean’s portfolio at the highest level of professional standards and best practices. Assistant functions as the central point of contact between the Dean and other stakeholders within the School of Business. The position liaises extensively with various academic and administrative units on campus and with multiple external agencies and individuals. By ensuring that the Dean navigates successfully through a multitude of functions and responsibilities, the Assistant frees the Dean to focus on the academic mission of the school and the university. The incumbent must work under limited supervision within broad guidelines set by the Dean.
Responsibilities:
- Manages the Dean’s calendar, conducting research to prepare briefing materials, coordinating travel, managing the Dean’s tasks, coordinating confidential and sensitive communications among the school and the university administration;
- Carry out all administrative work in the School of Business: correspondence, dissemination of information, organization of conferences, interviews and meetings;
- Ensure coordination with faculty members and the Office of Student Records regarding class and exam schedules;
- Assisting with the scheduling and organization of special committees over which the Dean presides, including assisting the Dean in the preparation and distribution of any supporting meeting materials or acting as the recording secretary for meetings as required;
- Provide administrative support to faculty members for conference visits and other business trips;
- Maintaining critical email distribution lists and ensuring these updates are made in other communications systems used by the faculty;
- Completing other diverse administrative duties, including follow-up from meetings and other engagements; drafting of correspondence; maintaining appropriate contact with the many units with which the Dean interacts and keeping the Dean informed of important developments; disseminating information to program directors, faculty, professional staff or other members of the university’s senior administration on behalf of the Dean;
- Perform other relevant work as directed by the Dean.
Requirements:
- Bachelor’s degree or the equivalent in education and experience. Human Resources Management training will be considered an asset;
- 1-2 years of administrative work experience, preferably in a university environment;
- Good project management skills, strong attention to detail, and ability to multi-task with demanding timeframes;
- Fluency with Microsoft Word, Excel, PowerPoint and Outlook. Experience with databases is desirable;
- Appropriate and advanced writing skills;
- High quality customer service orientation;
- Strong communication and interpersonal skills to communicate effectively with all levels of staff; both verbally and in writing, with excellent editing and proofreading ability;
- Strong ability to work independently and as a team member;
- Ability to use high-level discretion and maintain a high level of confidentiality;
- Diplomacy, professional appearance and demeanor, and punctuality.
