Job Title: Full-time, Permanent
Position Summary:
- Support the daily inspection operations by managing documentation, coordinating material and equipment movements, maintaining accurate records, and ensuring smooth communication between internal teams, suppliers, and clients. The role is responsible for tracking inspection activities, controlling stock and consumables, preparing reports, and providing administrative and logistical support to ensure timely, efficient, and compliant service delivery.
Key responsibilities
- Receive and respond to inspection enquiries in a professional manner.
- Process Delivery Tickets for customers promptly and accurately.
- Monitor and record the movement of tubulars inspection.
- Order required materials and ensure accuracy upon receipt, responding to supplier queries and providing additional information (including photos) when needed.
- Order stock/consumables required for Inspection services
- Manage and control storehouse inventory: release materials, record incoming/outgoing items, and monitor material usage.
- Conduct weekly stock checks.
- Complete all inspection documentation assigned by Inspection Supervisors.
- Prepare presentations, STs, CTXs, and send them to the Inspection Supervisor.
- Process Service Tickets for Accounting.
- Update all registers in a timely and accurate manner.
- Prepare inspection, weekly, and monthly reports.
- Perform photocopying, scanning, and other administrative tasks as required.
- Prepare employee rotation plans and maintain staff attendance, timesheets, and daily POB sheets.
- Provide translation/interpretation support when required.
- Search for the qualitative tools and material, share details with the procurement team, and manage delivery notes.
- Track material deliveries and ensure proper documentation and follow-up.
- Arrange lunch for personnel and provide monthly lunch details to Accounting in the required format.
- Maintain all registers under the guidance of the Inspection Supervisor.
- Send inspection reports to the Supervisor, respond to related queries, provide additional information, trace pipe data as requested by clients, and implement required changes.
- Keep the consumables list updated weekly and share with the Supervisor.
- Arrange stationery and coordinate canteen provisions.
- Ensure PPE cleaning services are completed on time.
- Coordinate servicing of equipment, machinery, and transport.
- Conduct annual inventory of base assets.
- Upload job-related information to the server.
- Send equipment for repair and manage return.
- Supply supervisors and inspectors with previous inspection records.
- Perform any other reasonable duties assigned by the Line Manager safely and within set deadlines.
Required qualifications & experience
- Technical/vocational certificate preferred.
- Minimum 4–7 years of experience in inspection or related operational roles.
- Strong working knowledge of MS Word, Excel, and PowerPoint.
- Good written and spoken English.
- Willingness to learn quickly and continuously improve knowledge and skills.
