Responsibility:
- Provide high-level administrative and organizational support to the Director.
- Work closely with the Director to ensure they are well informed of upcoming commitments, deadlines, and priorities; follow up as required.
- Proactively manage the Director’s schedule, including regular review meetings to align on diary commitments and key priorities with both internal and external stakeholders.
- Organize and coordinate travel arrangements, meetings, and events for the Director.
- Perform secretarial duties such as drafting, typing, and preparing documents; maintain high standards of quality through proofreading, checking grammar, spelling, accuracy, and presentation.
- Develop and maintain effective office systems, including data management and filing.
- Screen and manage phone calls, inquiries, and requests, responding or redirecting them as appropriate.
- Greet and assist visitors at all levels, ensuring a professional and welcoming environment.
- Handle incoming and outgoing correspondence, including registration of official letters, sorting and distributing mail, and managing postal service invoices.
- Maintain and update contact lists for employees, customers, suppliers, and external partners.
Requirements:
- Minimum of 2 years’ proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
- Full-time availability.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and confident use of the internet.
- Excellent oral and written communication skills in English, Azerbaijani, and Russian.
- Strong organizational skills with the ability to multi-task, prioritize, and meet deadlines under pressure.
- Self-motivated, proactive, and capable of working independently with minimal supervision.
- Positive, dynamic, and creative approach, with a strong sense of responsibility.
- Strong interpersonal skills and the ability to build effective working relationships at all levels.
- Applicants must successfully pass computer and language tests (speaking, writing, and reading).
- Maximum age: 35 years.
