Job Summary:

We are looking for a highly organized, experienced, and proactive Personal Assistant (PA) to provide comprehensive support to the General Director. The ideal candidate will be a discreet and dependable professional with exceptional communication and problem-solving skills. This role requires someone capable of managing a dynamic schedule, coordinating multiple priorities, and handling sensitive information with the highest level of confidentiality and professionalism.

Key Responsibilities:

  • Manage the General Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Serve as the primary point of contact between the General Director and internal/external stakeholders.
  • Draft and prepare reports, presentations, emails, and official correspondence.
  • Organize and coordinate executive meetings: prepare agendas, take minutes, and follow up on action items.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Monitor, prioritize, and respond to emails, phone calls, and other communications on behalf of the General Director.
  • Assist in the planning and coordination of business events, conferences, and off-site meetings.
  • Conduct research, gather data, and prepare briefing materials or documentation for meetings and decision-making.
  • Liaise with senior management, department heads, and staff to ensure efficient communication and operational alignment.
  • Support the General Director with various ad hoc projects and tasks as needed.

Requirements:

  • Minimum 3–5 years of proven experience as a Personal Assistant or Executive Assistant to senior leadership.
  • Excellent written and verbal communication skills in Azerbaijani and English; knowledge of other languages is an advantage.
  • Strong organizational, time management, and multitasking skills.
  • High level of discretion, integrity, and professional judgment.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Ability to work independently, anticipate needs, and remain flexible in a fast-paced environment.
  • Bachelor's degree in Business Administration, Communications, or a related field is preferred.
