We are seeking a welcoming and highly organized Office Reception & Administrative Coordinator to serve as the first point of contact for clients and visitors, while ensuring smooth day-to-day office operations. This role combines front desk responsibilities with administrative support, making it ideal for candidates who thrive in multitasking environments and enjoy creating a professional and friendly atmosphere.

Key Responsibilities

  • Front Desk & Guest Relations

 Create a warm and professional first impression by welcoming guests, answering queries, and directing visitors efficiently.

  • Administrative Operations

 Manage incoming phone calls, emails, and scheduling requests. Perform general clerical duties including data entry, filing, and handling deliveries.

  • Document & Information Management

 Maintain up-to-date records, sort and organize documentation, and assist staff and clients with timely access to necessary information.

  • Issue Resolution & Support

 Identify client concerns, provide helpful solutions, and coordinate with relevant teams to ensure prompt resolution.

  • Team Collaboration

 Work cross-functionally with various departments, contributing to a cohesive and productive office environment.

  • Translation support

 Provide a verbal and written support in English and Azerbaijani translations.

  • Support in migration matters

 Support expatriate staff in collection and submission of necessary documentation for temporary residence permits.

Skills & Attributes for Success

  • Education

 Minimum high school diploma; associate degree in business administration, hospitality, or a related field is an advantage.

  • Experience

1–2 years in customer service or front desk roles, preferably within corporate, hospitality, or professional services sectors.

Excellent verbal and written communication skills

Friendly and professional demeanor

Strong organizational and multitasking abilities

Calm under pressure and solution-oriented

  • Tech Savvy

 Comfortable using Microsoft Office (Word, Excel, Outlook), scheduling software, and multi-line phone systems.

  • Languages

Azerbaijani and English fluency required; 

Russian language skills a strong asset.
