Responsibilities:
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the work desk (monitor logbook, issue visitor badges)
- Order front office supplies and keep inventory of stock
- Update calendars and schedule meetings on outlook
- Arrange travel and accommodations, and prepare vouchers
- Keep updated records of office expenses and costs via internal system (SUN\Genesis)
- To show support to Procurement and Logistics Department in order to purchase the necessary equipment as well as equipment maintenance and forward to repair for;
- To protect the confidentiality of files and registration documents;
Requirements:
- Proven work experience as a Receptionist, Front Office Representative or similar roles
- Fluency in English and Russian languages;
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g., fax machines and printers)
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
