Job Description

Role Purpose

  • This is not an administrative role.
  • This role functions as an external operating system for the CEO.

Core Responsibilities

Time, Focus & Priority Management

  • Manage the CEO’s calendar strictly based on priorities, not requests
  • Structure daily, weekly, and monthly schedules
  • Ensure CEO time is allocated to strategic and high-value activities
  • Prevent overload and context switching

Incoming Flow & Communication Filtering

  • Handle incoming communication
  • Resolve issues independently when possible
  • Escalate to CEO only truly critical matters

Business Coordination & Execution Control

  • Follow up on agreements, deadlines, and deliverables
  • Prepare meeting agendas and protocols (decisions, owners, deadlines)
  • Maintain a structured backlog of ideas, tasks, and reminders
  • Run regular synchronization sessions with the CEO

​​​​​​​Information, Reports & Analytics

  • Prepare reports, summaries, tables, and presentations
  • Conduct market and competitor research
  • Collect and structure data for decision-making
  • Provide options, comparisons, and basic risk analysis
  • Turn raw information into clear executive insights

​​​​​​​​​​​​​​Systems & Process Management

  • Maintain CEO tasks in Task Management app/Calendar
  • Optimize and document recurring processes
  • Create checklists, workflows, and simple regulations

​​​​​​​Mandatory Requirements

  • Fluent in the Azerbaijani, Russian, and English languages
  • Available for international business trips with the CEO.
  • High intellectual capacity and systems thinking
  • Strong emotional intelligence and empathy
  • Absolute confidentiality and trustworthiness
  • Ability to process large volumes of information
  • Proactive mindset and anticipation of needs

Confident user of:

  • Excel / Google Sheets (reports, analysis)
  • Presentation tools
  • Ability to prepare structured reports and summaries
  • Market analysis skills
  • Confident use of AI tools
