Company: “VLand Systems” LLC (former “STP Metal Structures” LLC)
Key Responsibilities:
- Organize, coordinate, and oversee the Company's administrative and facilities management activities
- Manage and monitor the provision of office equipment, materials, and administrative supplies for all Company offices
- Ensure the proper receipt, storage, inventory management, and distribution of Company assets and materials across departments
- Manage the Company's vehicle fleet and ensure the efficient and appropriate use of transportation resources
- Plan and coordinate transportation services, prepare relevant reports, and submit them to the appropriate stakeholders
- Ensure the uninterrupted operation of telecommunication, internet, and other communication services
- Coordinate administrative and logistical arrangements for corporate, social, and other Company events
- Oversee the organization, administration, and reporting of employee catering services
- Ensure the uninterrupted provision of utility services (electricity, water, heating, etc.) for the head office
- Supervise the maintenance, inspection, repair, servicing, and technical operation of buildings, facilities, engineering systems, and equipment
- Coordinate the activities of contractors and service providers and monitor compliance with contractual obligations
- Arrange for the engagement of external specialists or contractors when services not covered by the approved staffing structure are required
- Ensure the implementation of occupational health and safety, fire safety, and workplace well-being measures
- Organize and supervise seasonal maintenance and preparedness activities for administrative buildings and the Company's vehicle fleet
- Monitor the accuracy of timesheet administration, employee attendance records, and related reporting
- Organize the preparation of monthly, quarterly, and annual reports related to administrative and facilities management activities and submit them to management
- Coordinate the activities of the administrative team and provide methodological and practical support where required
- Ensure compliance with applicable legislation, internal policies, procedures, and Company regulations
- Develop and submit proposals to improve administrative and facilities management processes based on management instructions or personal initiative
- Perform other duties and responsibilities assigned by management in connection with the activities of the department
Requirements:
- Bachelor's degree or higher
- Minimum 3–5 years of relevant experience in administration, facilities management, office administration, or a similar field (experience in the manufacturing industry is preferred)
- Strong documentation and report preparation skills
- Excellent planning, coordination, and organizational skills
- Effective communication and teamwork abilities
- Strong sense of responsibility, responsiveness, and results-oriented approach
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Outlook, and other office software and equipment
- Languages: Good command of Azerbaijani and English; knowledge of Russian is an advantage.
